LodgeOS

Privacy

Last updated 20 October 2026

LodgeOS makes software that resorts use to run their business. Most of the personal information in our systems belongs to a resort's guests, and the resort decides what is collected and why. We hold and process it on their behalf.

What we hold

What we do not hold

Why we hold it

To provide the service a resort has asked for: taking and managing bookings, taking payment, cleaning and preparing the rental, and communicating with the guest about their stay. We also use aggregate, non-identifying information to understand how the product is used and to keep it working.

Who it is shared with

We do not sell personal information, and we do not share it for anyone else's marketing. It is shared only with:

Email

We send email on behalf of resorts — booking confirmations, changes, quotes, payment links, pre-arrival details and post-stay notes. Where a resort sends marketing, every message carries a working unsubscribe link and supports one-click unsubscribe. Delivery failures and spam complaints permanently suppress the address in our system. The Email from LodgeOS section on our home page describes this in full.

Texting LodgeOS

If you call or text our own number, (833) 84-LODGE ((833) 845-6343), we keep your phone number, your messages and any voicemail you leave, so we can reply and follow up. We text you only in reply to a conversation you started, about LodgeOS. Message frequency varies; message and data rates may apply. Reply STOP at any time and we will not text you again, or HELP for help.

We do not sell, rent or share your mobile number or your texting consent with third parties or affiliates for their marketing or promotional purposes. Twilio carries the messages for us and uses the number only to deliver them.

Facebook and Instagram

When a resort connects its Facebook Page or Instagram business account to LodgeOS, we receive from Meta the Page's name and id, the linked Instagram account's id and username, a Page access token, and the Facebook id of the person who connected it. We use these only to publish the posts that resort approves, at the time it chooses, and to show the resort how many people each post reached.

We store the access token encrypted, in that resort's own database, and we do not sell, share or use this information for advertising. A resort can disconnect at any time from its Social page, which deletes the token. You can also remove LodgeOS from your Facebook settings (Settings & privacy → Business integrations); we are notified and delete everything we hold for your login. To ask for deletion directly, use Facebook's "Send request" for LodgeOS, or write to [email protected]. Posts already published stay on your Page until you remove them there.

Where it is kept, and for how long

Data is stored on Amazon Web Services in the United States. We keep booking and payment records for as long as the resort needs them for their own accounting and legal obligations. A resort may ask us to delete a guest record at any time, subject to those obligations.

Your choices

You may ask what we hold about you, ask for it to be corrected, ask for it to be deleted, or ask us to stop sending you marketing. Write to [email protected]. If your information was given to a resort, we may need to pass the request to them, and we will tell you if so.

Children

LodgeOS is not directed at children and we do not knowingly collect information from them. A guest record may include the number of children on a booking; that is the resort's record of their stay.

Changes

If this page changes materially we will update the date at the top. The current version is always the one published here.
